What is Amazon Order Management?
Amazon order management is the sequence of events between a customer clicking Buy Now and the seller receiving cleared payout — order routing, inventory allocation, invoicing, dispatch, tracking, delivery, returns and reconciliation. On Amazon.in it is governed by the Marketplace Fair Pricing Policy, the Seller Code of Conduct and the fulfilment channel SLAs.
Every seller operates on one of three fulfilment channels, and the order management workflow changes materially for each: FBA (Amazon handles pick-pack-ship-return), Easy Ship (seller packs, Amazon picks up), and Self-Ship (seller does everything). Seller Fulfilled Prime (SFP) is a Self-Ship variant with Prime badge and stricter SLAs.
The Amazon India order lifecycle (11 stages)
- Order placed — appears in Seller Central under Manage Orders, status: Pending.
- Payment verification (0–30 min for prepaid, instant for Pay-on-Delivery).
- Order confirmed — status moves to Unshipped; SLA clock starts.
- Inventory allocated in your WMS/OMS; SKU picked and QC-ed.
- GST-compliant invoice generated (mandatory; use Amazon's invoice API or a GSP).
- Packed as per Amazon packaging guidelines (Easy Ship requires ATS-approved cartons).
- Manifest generated and handed to Amazon Transportation Services (ATS) or self-ship courier.
- In-transit — Amazon updates tracking on customer side automatically.
- Out for delivery → Delivered — status auto-updates from courier API.
- Return window opens (7 or 10 or 30 days by category); RTOs and customer returns flow back.
- Reconciliation — payout report generated on 7-day cycle; SPF, commission, closing fees deducted.

- Order Defect Rate (ODR) — target < 1%. Suspends account above 1%.
- Late Dispatch Rate (LDR) — target < 4%. Buy Box suppressed above 4%.
- Pre-fulfilment Cancellation Rate — target < 2.5%. Also affects Buy Box.
- Valid Tracking Rate (VTR) — target > 95% for Self-Ship / Easy Ship.
- On-Time Delivery Rate (OTDR) — target > 97% for SFP.
- Return Dissatisfaction Rate — target < 10%. Category-listing suppression above 10%.
Handling returns and RTO (the hidden 12% margin killer)
On Amazon India, customer returns and RTO (Return-to-Origin from failed deliveries) together average 12–18% of order volume for apparel, 6–9% for electronics and 3–5% for consumables. Each return costs the seller: forward shipping, reverse shipping, restocking, and 30–40% of returned inventory arrives unsellable.
In 2026 Amazon India runs a mandatory Seller Protection Fund (SPF) claim window of 60 days from RTO. Missing this window forfeits the claim. Automated claim-filing tools recover 60–75% of eligible amounts; manual filing recovers < 30%.
